1. Introduction
Your privacy matters. This policy explains what data Wikilicia collects, why it's collected, and how it's handled. I keep this as minimal as possible, only what's needed to make the bot actually work.
When I say "server moderators" I mean anyone with access to Wikilicia's dashboard for a given server, whether through Discord permissions or manually added access.
2. Summary
I don't collect personal data beyond what Discord provides when you log in to the dashboard. No tracking, no ads, no selling your data. The only things stored are what's needed to deliver the features you configure.
3. What's collected and why
3.1 Dashboard sessions
When you log in to the dashboard through Discord OAuth, a session is created that stores your Discord user ID, username, avatar, and the list of servers you're in. This session expires after 16 hours and is deleted when you log out.
3.2 Server configuration
When you save settings in the dashboard, those settings are stored against your server's ID. This includes things like level-up message templates, welcome message settings, birthday channel, and any other feature configuration. None of this includes message content.
3.3 Member data
Certain features require storing member-specific data against a user ID. This includes XP and level progress, registered birthdays, temp voice channel ownership, and peak online counts for stat channels. This data is tied to a Discord user ID, not to any personal identity.
3.4 Audit log events
If you enable audit logging, Wikilicia will process events like member joins, leaves, bans, kicks, and nickname changes to send log messages to your configured channels. These events are not stored in a database. They're processed in real time and sent to Discord.
3.5 Message content
Wikilicia does not read or store the content of messages sent in your server. XP is awarded based on message events, not content. No message history is ever stored.
4. How data is used
All stored data exists solely to deliver the features you've set up. It's not used for advertising, analytics, or shared with any third party. I may look at aggregate usage patterns (like how many servers have levels enabled) to help improve the bot, but this is never tied to individual users or servers.
5. Data deletion
If you kick Wikilicia from your server, all data associated with that server (configuration, member XP, birthdays, etc.) is deleted within a few days. If you want it removed immediately, reach out and I'll handle it manually.
If you want your personal data (like a birthday you registered or your XP) removed from a specific server, you can contact the server's admin or reach out to me directly.
6. Security
The databases and servers running Wikilicia are not publicly accessible. Access is restricted and all connections are encrypted. That said, no system is completely immune to breaches. I do my best but can't make any absolute guarantees. I'm not liable for any data loss or breach.
7. Third parties
Wikilicia does not use any third-party analytics or tracking services on the bot itself. The dashboard website uses a self-hosted analytics tool (Umami) to count page views. No cookies, no fingerprinting, no personal data collected.
